PROGRAMMING PHASE

The first phase of the design process is to gather all information related to your project. This is also where we have our first meeting. Using our detailed questionnaire, we will identify your needs, dive further into your wish list, likes & dislikes, refine the project goals & objectives, determine budget, design style, colour & aesthetic preferences. From here, we can determine the feasibility of the project, & if there are any limitations or issues. You will provide us with any existing floor plans & inspiration images you have gathered; knowing what you like, and dislike, are crucial in nailing down your preferred design aesthetic and our design concept. 

Stephanie Hilton Design will take inventory of any existing furniture, fixtures & equipment (FF&E) to be used in the project. We will do a site measure, or if necessary, engage a third-party digital measuring company, and take photos graphs of the existing spaces.

CONCEPTUAL DESIGN PHASE

Schematic, or conceptual design is where we use the information gathered in the Programming phase & begin to explore ideas & space plan. Here is where we curate your design concept & present our vision for your project.

We carefully review the programming requirements, develop spatial adjacencies, & space plan. We will prepare existing & preliminary proposed floor plans & further develop the project budget if necessary. We will make preliminary selections of fixtures, finishes & equipment to present at our concept meeting where we present preliminary proposed floor plans, preliminary FF&E specifications & design concept to be followed throughout the project.

After this meeting, we will review floor plans, & make any necessary revisions before finalizing the floor plan & moving into the design development.

DESIGN DEVELOPMENT PHASE

Design development is the most involved and time-consuming phase of design. Expect this to take a couple of weeks for us to complete. So much happens during this phase, as this is where we work our magic to capture all those little details to make your project stand out.

We work on finalizing floor plans, making necessary revisions to the initial FF&E selections presented in our design meeting & present for final review & approval. If we are doing building permit plans, we will issue the building permit drawings to you or your contactor to make your permit application.

Two changes are allowed during design development. Once plans & specifications are signed off, any further changes will be billed hourly. This is to ensure that our time is being used wisely & efficiently, and most importantly your project is not delayed.

CONTRACT DOCUMENTS PHASE

Once we have your approval, we will prepare the specification & drawing packages which typically include floor plans, elevations, cabinetry & custom millwork drawings, lighting & electrical plans, & any other details we need to capture and communicate to the builder. such as tile layouts & details, floor transitions, trim details, & finishes plans. We will meet with consultants and engineers as required.

We will collect & review bids from our preferred vendors & trades to ensure that the budget is being met & advise the client or builder if it is exceeded & suggest revisions to the specifications or budget. We can assist client in awarding contracts if requested & are available to assist with purchasing. Stephanie Hilton Design also provides project management, if you have not yet selected your contractor, we would be pleased to price your project and manage it for you; after all, no one knows your project better than your designer.

CONTRACT ADMINISTRATION PHASE 

This final phase of design is critical in ensuring an effortless renovation or new-build. After preparing the contract documents, we will submit your construction documents to your contractor. If you choose to continue working with us to manage your project, we will send the documents out for bidding, prepare purchase orders and purchase FF&E.

Documentation, clear communication and building relationships are things we pride ourselves on. The design may be complete, but we are still with you every step of the way to the finish line. Stephanie Hilton Design will review & approve shop drawings & samples to ensure they are consistent with design concepts & specifications.

We will make periodic site visits through construction to oversee installation of FF&E at important milestones during the project. A post-construction site inspection for omissions or damages with the contractor is the final step in the design process. At the close of the project, we will do a deficiency walk through with you and/or the contractor to make a “punch list” or to-do list.
